Cancellation Policy

Cancellation & Payment Policy

1. Scope

This policy applies to all reservations made directly with MiTerra Housing Solutions through our website, email, or phone.

2. Definitions

  • Check-in / Check-out: As stated in your confirmation email.
  • No-show: The guest does not arrive by 11:59 PM on the check-in date without notice.
  • Business days: Monday–Friday, excluding Greek public holidays.

3. Bank Transfer Bookings

3.1 Payment deadline

  • Your reservation is held pending payment. Please complete the bank transfer within 24 hours of receiving the confirmation email (unless a different deadline is stated there).
  • If payment is not received by the deadline, the booking may be automatically cancelled.

3.2 Deposit & balance

  • Deposit: 30% of the total amount is due within the payment deadline above.
  • Balance: The remaining 70% is due 7 days before check-in (unless otherwise agreed in writing).

3.3 Cancellations & fees

  • ≥ 30 days before check-in: Full refund of amounts paid, minus bank charges.
  • 8–29 days before check-in: Cancellation fee = 30% of the total. (We retain the deposit; if you paid more, we refund the difference.)
  • 0–7 days before check-in or No-show: Cancellation fee = 100% of the total stay. (If amounts paid are lower than the fee, the difference will be invoiced.)

3.4 Refunds

  • Refunds are processed within 10 business days after written cancellation confirmation. Bank fees and currency conversion costs are borne by the guest.

4. Payment on Arrival Bookings (30% advance by bank transfer)

4.1 Deposit & balance

  • Your reservation is held pending payment. Please transfer a 30% deposit within 24 hours of receiving the confirmation email (same process as Bank Transfer bookings).
  • Balance (70%) is payable at check-in by card or cash.
  • If the deposit is not received by the deadline, the booking may be automatically cancelled.

4.2 Cancellations & fees

  • ≥ 30 days before check-in: Full refund of amounts paid, minus bank charges.
  • 8–29 days before check-in: Cancellation fee = 30% of the total stay. (We retain the deposit; if you paid more, we refund the difference.)
  • 0–7 days before check-in or No-show: Cancellation fee = 100% of the total stay. (If amounts paid are lower than the fee, the difference will be charged/invoiced.)

4.3 Refunds

  • Refunds are processed within 10 business days after written cancellation confirmation. Bank fees and currency conversion costs are borne by the guest.

4.4 Notes

  • Please email the payment proof once the deposit is sent.
  • We may request a brief arrival reconfirmation before check-in; failure to reconfirm may lead to cancellation.

5. Booking Request

5.1 Before approval

  • A Booking Request is not a confirmed reservation and no payment is taken. You can withdraw your request at no cost before we approve it.

5.2 After approval

  • Once approved, your request becomes a reservation under the payment method you choose:
    • If you choose Bank Transfer, section 3 applies.
    • If you choose Payment on Arrival, section 4 applies.
  • Approval may be held for up to 24 hours awaiting your payment/confirmation; otherwise, it may auto-expire.

6. Modifications & Early Departure

  • Date or length changes are subject to availability and may be treated as a cancellation (fees per sections 3–4) if they reduce the stay or shift into higher-demand dates.
  • Early departure after check-in: Unused nights are non-refundable.

7. No-Show

  • A no-show triggers the fees described in the relevant section (Bank Transfer or Payment on Arrival). The reservation is then released.

8. Force Majeure

  • If your stay is affected by events beyond your reasonable control (e.g., natural disasters, official travel bans), contact us promptly. We will offer date change or credit, or a refund where required by law. Documentation may be requested.

9. Overbooking / Operational Issues

  • In the unlikely event we cannot honor a confirmed booking, we will offer equivalent or superior alternative accommodation at our expense or full refund of amounts paid.
